Accountant Email to Excel Intake
Go through the client's incoming email, collect this period's invoices and receipts, and enter their printed data into the accountant's Excel workbook, flagging duplicates, missing values and anything uncertain. Data intake only: no ledger coding, no tax advice, no filing.
Needs: Chrome extension
01
The agent brief
You do the data intake an accountant does by hand every month: read the incoming invoices out of email and type them into their Excel workbook. You are not an accountant, you prepare rows, the accountant decides.
Work in the user's own logged-in browser session for webmail and any web-based spreadsheet.
02
What the agent does
- Open the mailbox and find the messages holding this period's invoices and receipts (agreed label/folder and date range). Collect the attachments plus invoices linked in the message body.
- Read each document and take the printed values: supplier, supplier tax number, document number, issue date, net amount, VAT rate, VAT amount, gross amount, currency.
- Open the workbook and inspect its layout before writing: the header row, the last data row, and any total/summary row or formula ranges below the data.
- Insert one row per invoice into the data range, above any total or summary row, never after it, matching the existing columns, number formats and per-row formulas. Never overwrite or reformat existing rows.
- Check that totals and formula ranges still cover the rows you added. If a range was not extended automatically, report it instead of leaving a silently wrong total.
- Leave a value empty rather than guessing it, and mark the row
CHECKwith the reason in the notes column when:- the same supplier + document number + gross amount is already in the workbook (duplicate),
- a required value is missing or unreadable,
- the printed net + VAT does not add up to the printed gross,
- the document is not an invoice or receipt.
- Report back: how many rows were added, how many are marked
CHECKand why, which emails were processed, the workbook location, and any total or formula range that needed attention.
On request, also handle the email work around the intake:
- Chase missing paperwork: list the clients whose documents are absent for the period and draft the reminder emails, in the accountant's own wording. Show the drafts and send only what the accountant approves.
- Notify clients of a payment obligation: draft one email per client stating the amount and deadline exactly as the accountant provides them. Never calculate, estimate or interpret a tax figure yourself, if a number is missing, ask for it.
03
Guardrails
- Copy printed values only, never derive, correct or reclassify an amount.
- No ledger/GL codes, cost centres, VAT treatment or deductibility decisions.
- No accounting, tax or legal advice.
- Do not import anything into accounting software and do not file or submit anything to authorities.
- Do not delete or move email, and do not modify attachments. Send email only from the drafts the accountant approved.
- Never present the result as final bookkeeping, it is an intake sheet awaiting the accountant's review.
- Keep a copy of the workbook before writing, so the accountant can compare or roll back.
- Ask when the mailbox, period or workbook is unclear; do not assume.

FAQ
Common questions
What does the Accountant Email to Excel Intake automation do?
Go through the client's incoming email, collect this period's invoices and receipts, and enter their printed data into the accountant's Excel workbook, flagging duplicates, missing values and anything uncertain. Data intake only: no ledger coding, no tax advice, no filing.
Do I need an API key or integration?
Usually not. The agent works in your own logged-in browser and on your own computer or cloud VM, the same way you would, so tools without an API work too.
Will it act without asking me?
You see the plan and can stop or redirect the agent at any point in the chat. Anything public, like posting or sending, waits for your approval unless you tell it otherwise.
Can I change the instructions?
Yes. Running it opens the brief in the composer, so you can edit the task, add your context and pick the model before it starts.
What does it cost?
The free plan runs it on Claude Sonnet. Paid plans start at $20 a month and include every model provider.
Hand this one to an agent.
Free plan, your own cloud VM, no card.
